Chasing unpaid invoices and keying in supplier bills are two of the jobs owners tell me they hate most. In October, Xero made two moves that put AI on both.
What happened
Xero connected to Google Gemini. On 14 October 2026, Xero announced a connected app for Google Gemini and said it’s the first financial management platform to launch one. Once it’s connected, you can ask Gemini about your live Xero data: profit and loss, cash position, overdue balances, outstanding bills and supplier payments. You can also draft initial invoice summaries, and Gemini can turn the numbers into charts in the chat.
Xero says that “coming soon”, customers on eligible plans will be able to use Gemini tasks to set up scheduled workflows. One example is combining Xero and Gmail to prepare follow-ups for overdue invoices. Another is a daily summary of pending bills and cash position.
The safety rail matters. Xero says any action that changes financial data, such as issuing an invoice or sending a payment reminder, needs explicit confirmation from the user before it runs. It also says the data shared is used only for your session and isn’t used to train Gemini models.
JAX picked up more of the paperwork. Insightful Accountant’s 16 October rundown of Xero’s quarterly updates covers JAX, Xero’s AI. Smart Document Capture now pulls the tax rate off every line of a bill rather than just the total. Credit notes flow into a drafted transaction. When a document’s contact, total and date exactly match an existing transaction, auto-match attaches it, and you can switch that on or off. JAX can also plan payment follow-ups, send reminder emails before and after the due date, and stop once the customer pays. You can pause or stop it at any time.
What it means for a small business
If you’re on Xero, a lot of invoice processing can now be automated with AI without buying another tool. Bills emailed in arrive mostly filled out, reconciliation needs less clicking, and the awkward “just following up on invoice 1043” emails can go out on schedule.
It isn’t hands-off, though, and it shouldn’t be. AI extraction still gets things wrong, so someone needs to check new suppliers, odd amounts and anything that touches GST. Payment reminders also carry your name to your customers. Before you switch them on, read what JAX will send and decide who’s excluded, like the long-standing client you’d rather ring yourself.
What to do next
- Check your Xero plan and settings to see which JAX features you have. Xero says the Gemini tasks features will be for eligible plans.
- Start with bills, not invoices. Let Smart Document Capture draft bills for a month and see how often you have to correct it.
- Write your reminder rules before you switch on automated follow-ups: who gets them, how often, and when it becomes a phone call.
- Talk to your bookkeeper or accountant about who reviews what, so nothing gets approved twice or not at all.
- Think about access. If you connect Xero to an AI assistant, use an account with only the permissions it needs.
If invoices and bills are where your week goes, get in touch. Setting this up in the tools you already use is exactly the kind of job I do.
